Troop 208 - Outing Leader Responsibilities


  1. Begin by putting an activity schedule together.
    • Remember the activity schedule is your guideline. It will most likely need to amended throughout the outing. Things (weather, gear, attendance) never go as planned. It is not a problem to scale back the events based on circumstances. Judgment is your best resource in this case.
    • All plans should be in a written form, especially any deviations. You never know when you may have to personally cancel at the last minute. Someone will need to effectively step in and pick up where you leave off. A whole lot of scouts are counting on the results.
  2. Make appropriate camp site and activity reservations.
  3. Make payments of any associated fees [coordinate with Troop Treasurer].
  4. Collect and record cash fees from the scouts. This may require advance payments.
  5. Coordinate drivers and riders.
  6. Develop a handout or flyer with event details. May require multiple handouts and announcements over numerous meetings.
  7. Send e-mail to webmaster and request information be placed online under Events and Outings and on the troop calendar at least 2-3 weeks prior to scheduled outing. The webmaster will also send an announcement out to the scouts.
  8. Hold a Senior Patrol Leader Council meeting upon arrival at the outing destination.
  9. Review the schedule and activity agenda with the SPLC and adult leaders.
  10. Review any situational issues such a fire bans, cold weather issues, lifeguard, etc.
  11. Try to keep to the following schedule:
    • 6:00 pm - Friday evening: Departure from Christ the King Lutheran Church
    • 8:00 pm - Saturday evening: Campfire
    • 9:00 am - Sunday: Have gear and trailer packed and ready to roll.
    • 12:30 pm - Sunday: Arrive at Dairy Queen


NOTE: Sometimes we need to consider alternatives to the schedule. When we do, we need to consider. Never plan to have solo drivers. Always use a buddy driver system. When departing somewhere other than the church; coordinate with the drivers and scouts/parents. Arriving somewhere else other than the Dairy Queen, coordinate with the drivers and parents

All outings must conform with the BSA Guide to Safe Scouting. For example: No jet ski's, no ATV's, no paintball, no fireworks, age restrictions, etc. You cannot deviate on these items.

You will have two patrols to work issues:

  1. Service Patrol - builds latrine, builds and extinguishes campfire fires, etc.
  2. Program Patrol - runs the schedule activities, campfire program, etc.
